Best practice: Managing document templates

Basically, you can save the document templates in any desired folder and you are ready to go. When you are working with a test and live system for your document templates, we recommend you to set up the following folder structure for your document templates. This way you can easily separate the document templates that you are currently working on from the ones that are being currently used for document generation. This enables you to safely adjust and test document templates without possibly breaking the live document generation.

Steps

  1. Create two folders named:

    • Test

    • Live

  2. In each of these folders create an identical folder structure with one subfolder for each document template.
    Example: TravelTicket, SalesReport, SalesConfirm  etc.

    Note

    When possible work with underscores or capital letters in your folder and template names instead of  using spaces.

  3. Add the document templates to the respective folders.

  4. Adjust and test the document templates below the Test folder to your needs.

  5. When a document template is ready for use, move it from the Test folder structure to the Live folder structure.

Result

You have created a folder structure for working with a test and live system.
